1. Introduction
When you have integrated an email address to a Kanban board, all of your emails will be converted to cards. With the proper workflow setup, you can turn your board into a ticketing system.
Each email thread, starting from the original email and all subsequent replies, will be stored in a separate Kanban card.
2. How Do You Get the Original Email?
The first email from the mail thread automatically creates a Kanban card to the predefined Board and column, where:
- The Card Title (1) displays the Subject of the email
- The Reporter (2) displays the email of the sender
- Created at (3) displays the timestamp of the message
3. How Is the Email Body Displayed?
To read the email body, please open the card and you will see the original email in the card description.
4. How to Answer an Email from the Card?
If you want to reply to the original email from the card, open the Comments tab and click to “add an email” to the thread. Check our guide on How to Send Emails from the Kanban Card for more details.
5. How Do Emails Get Delivered?
If you reply back from the card, the recipient gets the email with the following information:
- The sender email address (1)
- The subject (2) of the email
- The name of the board (3)* where the email address has been integrated is displayed in curly brackets.
- The Card ID (4)* from which you replied is in curly brackets.
- A link to the card (5) inside the body of the email for quick access to it.
*Note: When you send an email from the Comments tab of the card, the system automatically adds the following parameters to the email Subject: {boardname}{cardid}.
In Businessmap, every card has its unique ID which cannot be duplicated — this is the easiest way to refer to a card. Businessmap uses these parameters to process each subsequent email and create it as a card comment to keep the email thread in one place.
If the sender and/or receivers in the email thread delete the Board/ID parameters and remove the curly brackets, the system will be unable to detect the card where a subsequent email should be created as a comment and will therefore create a new card instead.
6. How Is the Email Thread Displayed?
All subsequent emails in the email thread are stored in the Comments tab of the card. They are in a chat-like format for more structured and easy-to-follow communication. All replies are listed in chronological order starting from the first one to the most recent.
