1. Preserve Links & Policies When Saving Workflow Templates
In Product Update 5.15, we introduced the Manage Workspace Templates feature that allows Project Managers and Administrators to select one or multiple Projects and Boards (board or a set of boards under a project) and save them as Templates. They can be re-used and applied to the same account or to an external account associated with the PM/Admin email address registered in Kanbanize.
This feature is very useful for users who have successfully created and adapted workflows and need a fast and easy transfer of their setups and structure.
Moreover, the system allows users to export all cards of the corresponding boards and to define which projects settings to get: custom fields, card template, card types.
Building on that, with the introduction of Kanbanize 5.16, when a user chooses to export cards, the system will also preserve the cards' links and the corresponding runtime policies. The prerequisite to have all linked cards present is to select those boards that hold the related cards.
Upon template transfer, the user has to enable all replicated Runtime policies manually. To be easily recognizable, each of the transferred policies contains the word [Workspace].
Product Update 5.16 has added the "Shared with me" option, which allows users to save/apply workspace templates in the same account and easily share them with other team members or departments in the organization.
The Manage Workspace template feature is available in the retractable menu at the bottom right side of the dashboard. For more information on this feature, read the following dedicated article.
2. Move Cards Through Excel Import/Update
Via the Excel import/update function in Kanbanize, you can not only import new cards and update existing properties but also move cards in different columns and swimlanes.
In order to move cards, the imported Excel column names should match the cards' property field names that you want to update in Kanbanize. For example:
- Lane Name could be mapped to your legacy layer or type column
- Column Name could be mapped to the Status or Phase column
- ...
Important: The "Еxternal link" column is used as a unique identifier, so the import would know which cards to move. If the External Link values in Excel do not match the external link values in the existing Cards, new cards will be created. Usually, it is the unique legacy system ID number that is mapped to the External Link field in Kanbanize.
All movements are logged into the history and the metrics of the cards. If there are regular updates (weekly or daily) from the legacy system via the Excel Import, you can take the advantage of the Analytics modules in Kanbanize and inspect your flow.
3. Email Integration with Custom Domains per board
Product Update 5.16 enhances the email integration with Kanbanize to provide an easy setup and quick validation of company email addresses integrated to different boards.
It now allows team members to use their default integrated company email address when sending comments as emails via the Kanbanize card that holds the email thread. For example:
- IT Support board goes with support@mycompany.com
- Digital Marketing Team Board is linked with marketing@mycompany.com
- ...
Once a user chooses to integrate a company email address with Kanbanize, they have to set up an auto-forwarder and an SPF record. Upon validation on behalf of the Kanbanize support team, the email will be activated.
Other Enhancements
The custom fields panel of the Project and Board settings now shows the original project name of the shared custom fields.
