1. What Are Widgets?
Widgets provide summarized information about your projects and handy shortcuts to your cards and boards. They can be an excellent info point to key flow and performance metrics that are vital for your business and processes. In Businessmap, there are two types of widgets: Predefined Widgets and Custom Widgets. Here, we will focus on the first ones.
Every user can individually configure the widgets they want to see.
2. Overview of the Predefined Widgets
There are 29 predefined widgets in Businessmap. Some of them are designed to instantly provide information about your workflow, related tasks, and performance. Every widget requires minimum configuration efforts to display data for the defined time frame, board, and workflow.
2.1. Management Dashboards
There are three management dashboards available in the Widgets panel. They are configured as widgets and offer a comprehensive overview of your:
- Initiatives and Outcomes — keep track of all initiatives and their outcomes in a single dashboard that outlines risks and work progress. Learn more in our Initiatives and Outcomes Management Dashboard guide.
- Workflow Performance Summary — get a complete picture of all important metrics for a single workflow of your choice. Learn more in our Workflow Performance Summary guide.
- Throughput — gain quick insights into the efficiency and performance of you and your team. Learn more in our Throughput widget guide.
2.2. Analytics Widgets
To further boost the Analytics functionality, we have added 16 widgets that correspond to each analytics chart. You can pin selected widgets directly on your custom Dashboard, so you don't have to navigate to different screens to track your most important metrics. Each widget has its own configuration panel, which allows you to select the workflows that will be monitored. Moreover, users can set up their widgets to simultaneously track metrics of workflows that belong to different boards.
2.3. Miscellaneous Widgets
Miscellaneous widgets give you a wide range of performance metrics you can configure to fit your specific use case:
- Boards Flow Metrics — provides a high-level throughput overview on a single or multiple boards. For more information, please check the dedicated Board Flow Metrics article.
- The Power BI Reports widget allows you to embed Power BI reports directly on your dashboard. You can learn all about the Businessmap integration with Power BI here.
- Rich Text Widget — provides the ability to add a block of text to be displayed on your dashboard pages. The most common use case would be to use the widget for storing important information about your board/workflow processes, procedures, and best practices. The widget also allows embedding video URLs using the 'insert media' functionality. Please note that the system currently supports only YouTube video URLs.
- Process Efficiency — as the name suggests, this widget shows how efficient your process is. To learn how to configure it, please refer to our Process Efficiency widget article.
- Initiatives in Progress — it displays all selected boards in separate blue sections along with the corresponding Initiatives, which are currently in progress. You can add other boards to the widget from the Boards List available in the menu.
- Timeline Report — The "Timeline Report" widget shows a traffic light status (red/yellow/green) of all Initiatives (both started and completed) in the selected Timeline workflow. The status indicates if the progress of already started initiatives goes according to the initial plan and also pinpoints progress delays. At a glance, you can see if completed initiatives are finished on time or with a delay. You can learn more about the Timeline Report widget here.
- Tableau Reports — With this widget, you can embed Tableau Reports directly in your Businessmap dashboard. You need to select the Tableau product you are using (Public or Cloud) and paste your embed link. You can learn more about the Businessmap integration with Tableau here.
- Looker Reports — This widget allows you to embed Looker Reports directly in your Businessmap dashboard. You can learn more about the Businessmap integration with Looker Studio here.
2.4. Predefined Widgets
Predefined widgets focus on showing the status and placement of your cards across the account:
- Cards Assigned to Me displays all cards (located in the Requested and In Progress sections), across all projects and boards, which are assigned to the user who created the widget. This will shorten the time you require to catch up to the tasks you are responsible for.
- Overdue Cards shows all the cards with overdue deadlines, which are located in the Requested and In Progress sections. This widget is useful for both Account Owners and users because it gives an overview of the cards on the boards (to which the user has access) that were not completed on time. This widget only shows cards with a set deadline.
- Overdue Cards Assigned to Me — it displays all overdue cards across all projects and boards assigned to the user who created the widget. It shows only cards located in the Requested and In Progress sections. The widget only shows cards with a set deadline.
- Blocked Cards Assigned to Me — it displays all blocked cards across all projects and boards that are assigned to the user who created the widget.
Note: All four predefined widgets have a limit of showing 200 results.
3. How to Add a Predefined Widget?
Businessmap allows you to create multiple custom dashboards with a highly customizable layout to meet the unique needs of your organization.
The main purpose of the dashboards is to provide insight into the key metrics and critical business information. A well-designed dashboard will keep all vital information on one screen to help you make actionable decisions.
Once you create a dashboard, click on the “Add Widget” button to open the dedicated panel with all predefined and custom widgets. Select the widget(s) you want and they will be instantly visualized on your dashboard.
Each Dashboard can contain a maximum of 10 widgets.
Note: Businessmap allows you to combine Widgets and Workspaces in a logical group that makes sense to you and your Dashboard context. You can learn more about custom dashboards in our guide.
4. How to Manage Your Predefined Widget Settings?
Once you add a widget to your custom dashboard, you can further customize it. Each widget has a settings menu (the three dots icon) where you can complete the following actions:
- Rename: change the name of the widget.
- Clone: make a copy of the widget.
- Expand/Collapse: Switch to full-view to expand the widget's panel or reduce the size to make space for more widgets on your dashboard.
- Refresh: reload the widget's data.
- Settings: Configure the data you want your widget to display.
- Boards: this option becomes available for some of the analytics widgets and lets you change the board for which you track metrics, using a widget.
- Export: export the widget data to a spreadsheet file.
- Remove: remove the widget from your custom dashboard.
5. Refreshing Your Widget
The information in your widgets will automatically refresh once every 24 hours. Once you open a dashboard, all widget data will load from the last cached version. If there is new data available, the system will initiate a refresh. When that happens, you will see a refresh button appear at the top right corner of the widget with a countdown until the refresh. To cancel the refresh, click on the X button.
You can manually refresh your widgets at any time from the Refresh button located in the widget settings. Additionally, you can refresh all widgets in a given dashboard from the Refresh widgets option located here:
