The Analytics Dashboard is the first thing you see when you open your board’s Analytics module.
Introduction to the Analytics Dashboard
This dashboard aims to be an overview of all the key metrics you need to know about a given workflow at a glance - how long it takes to finish a card, how fast new cards are coming in, how long they are being processed, their completion rate, as well as how many cards are currently in progress.
Important: For the dashboard to perform the calculations, you would need to select at least one of the 3 date-related parameters (Created At, Start Date, End Date) from the left-side menu. You can also select more than one of them for a more precise configuration of the dataset.
Dataset Configuration
On the left side of your dashboard, you will find the dataset configuration menu. This is where you filter your data. You must choose at least one workflow and one of the following fields: Created at, Start Date, or End Date.
In addition to that, you have two more checkmark options:
- Ignore the cycle time configuration for the selected workflow(s) — enable this if you want the system to disregard the cycle time settings for the selected workflow. Keep in mind that when enabled, this setting affects the WIP data as it includes all cards outside of the Done section.
- Ignore the block time in the queue columns — enable this if you don't want the system to account for the time cards were blocked when they were in queue columns.
The Analytics Dashboard gives you an overview of the following data and metrics:
1. Cycle Time
This widget tells you how long it has taken to process the slowest for 85% of the work items. This is calculated by taking the cycle time data of all the finished work items on the board, ordered from shortest to longest cycle time, then the 85th percentile is taken (discarding any outliers) and its cycle time is displayed.
2. WIP
This widget tells you how many of the items returned from the filter are in progress right now. This should be reflective of the number of items that are shown on the Aging Work In Progress chart when using the same dataset configuration from the left-side menu.
Note: You can control what this widget reflects by using the dataset configuration controls from the right side menu. Be careful when using the "End Date" operator because this particular widget only works with cards that aren't completed (do not have an end date).
3. Stability
The Stability widget tells us the calculated averages for each metric based on all data up until Today/Last Week/Last Month.
Note: All the numbers in this widget are calculated averages. Here is how they are calculated:
Arrival Rate
The Arrival Rate is the rate at which you start work and work enters into the first checked stage of your workflow as configured in the workflow stages control for this chart. The calculation for this widget takes all started cards in the timeframe configured and takes the earliest card that has entered the first of the workflow stages. Then the total number of cards(regardless if they are finished or not) is divided by the time between then and "Today"; "Last Week", and "Last Month".
Throughput
The Throughput is the rate at which you finish work and at which work enters the last checked stage of your workflow (when you consider the card “finished”) as configured in the workflow stages control for this chart. The calculation for this widget takes all started cards in the timeframe configured and takes the earliest card that has entered the first of the workflow stages. Then the total number of finished cards is divided by the time between then and "Today"; "Last Week", and "Last Month".
WIP Age
The WIP Age is the rate at which your work-in-progress ages. This is how many days it has been since the work items entered the first checked step of your workflow as configured in the workflow stages control for this chart.
Important: All calculations for the WIP age in this widget are from single dates from your Businessmap Board set as follows:
Today - The average age of all items in progress today.
Last Week - The average age of all items in progress in the last 7 days.
Last Month - The average age of all items in progress in the last 30 days.
4. Monte Carlo: How Many
This widget aims to answer the question: “How many items you can finish in 30 days with 85% certainty?” based on your entire dataset. This should be reflective of what you'd see in the 'Monte Carlo: How Many' chart when using the same dataset configuration.
You can control what this widget reflects by using the filter controls for the Dashboard module:
- By using the item filter control you can filter down to a specific set of items.
- And by using the workflow stages control, you can redefine what completed means by unchecking workflow stages from the bottom of the list.
Note: Removing workflow stages from the top of the list does not affect the calculations.
5. Monte Carlo: Remaining
This widget aims to answer the question: “How long it will take to finish all of the unfinished items on the board with a probability of 85%” based on your entire dataset. This should be reflective of what you'd see in the 'Monte Carlo: When' chart when using the same filters and a configuration for the same number of items as there is currently.
You can control what this widget reflects by using the filter controls for the Dashboard module:
- By using the item filter control you can filter down to a specific set of items (not just all unfinished items like by default).
- And by using the workflow stages control, you can redefine what completed means by unchecking workflow stages from the bottom of the list.
Note: Removing workflow stages from the top of the list does not affect the calculations.
