Introduction to Worklog Reports
If you are looking for the best way to get started with the Businessmap Reports, first check out the dedicated article.
There are two types of worklog reports you can generate:
- "Worklog entries" report - displays the total logged time for each registered user in your account.
- "Worklog per item" report - displays all work items in the system for which users have logged time.
In order to use those reports, a user needs to have the "Log Time" permission included in their custom board role (for the board they wish to run the report) or have the Workspace Manager role (for the workspace that holds the board) to be able to pull information for logged time.
1. How to Generate a "Worklog entries" Report?
This report can display the total logged time for each registered user in your account.
Select the Worklog period you want to run the report for from the left side menu. The Worklog Period is a mandatory field.
Note: You can change the default “is” operator for the Worklog period by clicking on the small down-facing arrow, and choosing one of the other available operators, e.g., before, after, is between.
The “Refine report criteria” menu allows you to specify your report criteria by applying one or more filters and get results for a specific board, column, or user. For example, you can retrieve all logged time entries that were done by John for cards in the "Done" column of Board X.
When ready, click on the magnifying glassto get the results in a pivot view. The pivot view is the default view for this report, but you can switch to table view by clicking on the respective icon next to the Configure Results in the top right corner of the window.
You can further filter your results by clicking on “Options” in the lower left corner where you can also:
- Include discarded cards
- Include cards on archived boards
Important: If you want to modify the report’s structure while in Table View and the way information is displayed, you can do so from the “Configure Results” button in the upper right corner of the window. This report has 6 mandatory columns that cannot be removed: Logged time, User, Date, Comment, Card ID, and Title.
For example, you can retrieve all logged time entries that were done this week by Teo for cards in the "Done" column of Board X. In the results table, you can configure the entry logs to show the worklog categories (select “logged time category”) and the parent card title (if available) (select “captured parent”).
Note: If you select the “User attributes” option in the “Configure results” menu, the system will generate a separate column in the results table for each attribute. It is not possible to hide some attributes from the results table and display others.
When you configure your desired report, you can either export it or save it.
2. How to Generate a "Worklog by item" Report?
The "Worklog by item" report displays all work items in the system for which users have logged time.
Select the Worklog period you want to run the report from the left-side menu.
Note: You can change the default “is” operator for the Worklog period by clicking on the small down-facing arrow, and choosing one of the other available operators, e.g. before, after, is between.
You can select the characteristics of the work items you want to run this report for using the “Refine report criteria” menu to narrow down your criteria by applying one or more filters and get results for cards on a specific board, column, user, etc...
When ready, click on the magnifying glass to get the results in a pivot view - more on this view can be found in the dedicated article.
Note: Discarded cards are not included in the data set for the worklog reports per default. If you would like to add them, go to the “Options” menu in the bottom left corner and click on the “Include discarded cards” configuration. From that menu, you can also select to include cards on archived boards in your search.
Pivot View is the default view for this report, but you can switch to Table view by clicking on the Table View icon next to the Configure Results in the top right corner of the window.
Important: If you want to specify the report’s structure and the way information is displayed, you can do so from the “Configure Results” button in the top right corner of the window.
There are 4 mandatory fields (cannot be removed) in this type of report: Card ID, Title, Logged time, and Cumulative logged time*.
* You can use the "Cumulative logged time" column whenever you want to check the logged time of an initiative, including all of its child cards and subtasks. To get that cumulative data, however, you need to select the “Children logged time” and “Subtasks logged time” options from the “Configure results” menu. If you remove the “Children logged time” from the configuration, the “Cumulative logged time” column will show data for the initiative and its subtasks only.
The "Children Logged time" column shows the total logged time of a parent initiative (or a card), including all of its linked child cards.
When you configure your desired report, you can either export it or save it.
Limitations
When working with the Worklog reports, please keep in mind that there is a limit of 10K results in the Businessmap UI, and a 50K result limit for export and Power BI reports. This applies to all other reports from the Reporting Tool as well.
