In Businessmap, card comments help you communicate with your team, foster collaboration, and manage emails to and from your cards (through our email integration feature). Here is how to utilize comments for efficient project and team communication.
1. Introduction to the Comments Tab
Creating card comments is the easiest way to communicate with your team and share task-related information. The Comments tab facilitates team collaboration and email management from the card.
To add a new comment, open the card, click the Comments tab, and press Space.
A rich-text editor that supports markdown will become available in the Comment text box. Type your message and click "Add Comment" or press the Spacebar to submit your comment.
Note: You can also open the Comments tab from the Card Context menu or the Comments icon in the closed card view.
The system allows you to add as many comments as needed. For everyday work with the cards, seeing the number of comments in the respective tab is very useful. This way, you can get a good idea if the task has initiated further team discussions, mentions, or remarks. You can also use the filter at the top right corner. Simply enter a keyword string to show only comments containing your input, while hiding all others. To remove the filter, delete the keyword.
2. How to Mention Users in Your Comments?
If you want to get your colleague’s attention (a registered Businessmap user) on a specific topic or simply want to communicate via the card, you can use the “@” mention symbol.
Press "Space" to add a comment. Type in “@“ and the system will open a dropdown list with the names of all registered users in the account who have access to the board. Select the user you want to notify and enter your message.
If a few team members leave comments to the card → they will be added in a chat-like format for more structured and easy-to-follow communication.
3. How to Send a Comment as an Email from the Card?
In Businessmap, you can send emails directly from the Comments tab. To do that, press E or click the E button. For more details, please read how to send emails from the Kanban card.
4. How to Edit or Delete a Card Comment?
If you want to edit or delete a card comment, open the Comments tab, hover over the corresponding Comment, and use the respective icons.
Note: You can only edit comments created by yourself unless you have an "Account Owner" role or are a Workspace Manager on the board where the card is located.
Comments sent as emails cannot be modified at all.
5. How to Attach a File to a Card Comment?
To attach a file to your comment, simply click the Add file button located under the rich-text editor that appears when you begin typing your comment. Clicking it will open a dropdown with the available ways to upload a file.
6. How to Expand a Comment?
When a comment becomes too long, a down-facing arrow will appear to allow you to expand a comment and read the whole text. There is also an option to expand all comments of a card (in the top right corner).
7. How Are Comments Displayed in the Closed Card View?
The system lets you show or hide comments in the closed view, both for cards and initiatives. To configure these settings, click the Configure views icon located in the Board sidebar.
