1. Introduction to Public Filters
Public filters allow you to share detailed information about your projects with anyone, even if they are not a registered Businessmap user.
Whether you want to show a report on the progress of the development of your new product to the investors or share specific information with an affiliate, the shareable filter is the right approach. The link you share produces live data. It is not a snapshot from the time it was created and shared.
Important: The creation and access to public filters is a security control enabled by the Account Owner or users with the "Account Owner" privilege. This option ensures better data protection. If disabled, users are not allowed to create public filters. Moreover, access to all existing public filters will be revoked.
2. How to Create a Filter and Make It Public?
To create filters, use the refine search criteria option in the Advanced Search tool. Group together information relevant to different stakeholders and configure your results if necessary.
When you run a report and the system generates the matching results, it also produces a unique link at the bottom of the search panel. To make it interactive, click the Share button next to the link. Before you can share the link, you must first save the filter using the fields "Filter name" and "Filter description" for later reference. The Filter name you choose will also be used to refer to the public board, to which the shared URL will link.
Click the Public Link name to open the filter in a new browser tab. It contains the filtered information in a read-only view without other data from Businessmap.
You can also right-click on the name and select Copy link address to get the URL.
Note: The system will not allow you to save your filter if you leave the name field empty.
3. The "shared filter" Capabilities
- Both external and internal recipients of the shared link have the option to export the data in an xls. table for your archives.
- Internal Businessmap users can interact with the results. The card IDs and their board names are clickable and will direct you to the description of the card in question or the board itself respectively.
- For external recipients of the shared link, the information inside is only available as is, without the opportunity to use it as a gateway to boards and card descriptions in Businessmap. Clicking on the information will lead external users to the Businessmap login page.
4. How to Unshare a Public Filter?
If you want to make the link inactive, go to the Advanced search panel.
The Filters you create will remain in the system and you can access and reactivate them whenever you want by clicking “Load” on the bottom left side of the advanced search window. Find the filter you want to deactivate and click “Unshare” right next to the link making the data unavailable to whoever it was shared with.
5. How to Update the Information in Public Filters?
To update public filter information, open the Advanced Search tool and access the filter from the Load icon. Refine your search criteria as expected and configure the columns if necessary. Then click the Save button (1) and select Update loaded filter (2).
6. How to Manage Your Filter Settings?
To change the filter name or description, access the filter from the Load icon in the Advanced Search panel and use the corresponding gear icon to make your changes.
If you want to delete a filter, use the corresponding trash icon.
