Part of the board filter functionality, quick filters are exactly what they sound like — an easy way to filter data based on pre-set criteria. They save you time when you regularly use the same filter criteria. Here is more about them and how to use them!
1. What Are Quick Filters?
To access quick filters, navigate to the board sidebar, and select the board filter icon. Quick filters are located at the top of the Board Filter panel. They are preliminary saved filters designed to save you time and effort. Instead of manually filtering every time, you can select these quick filters and apply them directly to the board.
They are particularly useful for quickly refining your board view based on commonly used criteria. You can also combine multiple filters by enabling them and choosing a relevant operator (and/or).
Quick filters can be especially useful during daily stand-up meetings as a way to show relevant information for a specific board or track the progress of a particular process on that board. A typical example would be to utilize the “Last modified” custom field and create a quick filter showing all cards that were updated the previous day. You can join filters to further narrow down results. For example, you can join this filter with one for cards assigned to John to retrieve all cards that were modified yesterday and are assigned to John.
2. How to Create a Quick Filter?
Watch this short video or follow the instructions below to create your first quick filter:
To create a new quick filter, open the board filter and click on the New quick filter button at the top of the panel.
Important: There is an AND/OR slider on the top of the configuration window that you can toggle to configure if you want the properties you add to be mutually exclusive or not.
You will be presented with a list of properties you can filter by. Once you are done with your configuration, you will be prompted to save it. Quick filters can be saved as a private filter or, if you have the necessary permissions, you can make it a board-level filter.
In the Quick Filter Settings, you will see the following configuration options:
- auto-expand populated columns and lanes — with this option, if you activate the filter, all columns, lanes, and workflows will automatically expand if there is a card that matches the filter conditions.
- auto-collapse unpopulated columns and lanes — with this option, if you activate the filter, all columns, lanes, and workflows will automatically collapse if no card matches the filter conditions.
- make this a board-level filter — if you enable this option, the quick filter will be visible to all users added to the board. You need to have the “Manage board filters” permission to enable this setting.
3. How to Convert a Personal Quick Filter to a Board-Level One?
If you have the “Manage board filters” permission, you can easily convert a personal quick filter to a board-level one. This filter would be then visible to all users assigned to the given board. The “convert” option is available from the three-dot menu on each of your saved quick filters.
Important: Once applied, this change can not be reverted.
4. How to Use Keyboard Shortcuts to Apply Board Filters?
You can use a hotkey to apply your quick filters. To apply the first filter in your “Quick filters” menu dropdown, press F + 1. You can do the same for the top 9 filters in your list: F + [1-9]. Keep in mind that reordering your filters list will change the hotkey combination for each filter, depending on its position on the list.
Disclaimer: You can use these shortcuts regardless if you have the board filter menu open on your board. They work regardless of your current board view.
5. How to Join Filters?
To simultaneously apply two or more filters, simply enable them using the toggle button on each filter and choose the relevant operator (and/or) to join and apply them together.
In addition to joining two or more quick filters together, you can also join a quick filter and select additional filtering criteria from the Advanced Filtering section. For example, you can enable the "Owner is Teo" filter and choose an additional filtering property, e.g. card is = Blocked, or SLE = Exceeded.
Note: If two filters are joined and one of them has the auto-expand/collapse settings enabled, those settings will be applied when the two filters are applied together.
